One Pay Frequency for the Whole Register

Set your pay frequency (weekly, fortnightly or monthly) once at the top — it applies to every employee you add, since the ATO’s withholding formulas use different coefficients depending on how often you pay. If you run separate weekly and monthly payrolls for different staff, build two registers.

Super Guarantee Is Shown, Not Deducted

The Super column shows 12% of each employee’s gross pay for the period — this is money your business pays into their super fund on top of their gross pay, not a deduction from it. It never touches the Net Pay column. Under Payday Super (effective since 1 July 2026), this amount needs to reach each employee’s fund within 7 business days of the payday this register is for.

Per-Employee Tax Settings

Three checkboxes drive each employee’s withholding: whether they’ve claimed the tax-free threshold with you (unticking this applies the steeper no-threshold scale), whether they have a Study and Training Support Loan debt (adds the Schedule 8 component on top of ordinary withholding), and whether they’ve provided a TFN at all (ticking “No TFN provided” forces the flat 47% rate regardless of the other settings, matching the ATO’s own rule for un-declared employees).

What This Doesn’t Cover

This isn’t a replacement for real payroll software: it doesn’t handle Single Touch Payroll (STP) reporting to the ATO, leave accrual, superannuation fund payment processing, or the annual tax offset entitlement some employees claim on a Withholding declaration (a rare case — use the standalone Tax Withheld Calculator for that one). It also assumes resident employees only, matching the scope of every calculator in this series.
